A clinical operating system for a national telehealth clinic
Astrid Pharmaceuticals, a medicinal cannabis telehealth clinic acquired by the Chemist Warehouse group.
When a clinic's tools don't talk to each other, the patients feel it and the team pays for it in re-keying.
The system
The problem
Disconnected tools and daily re-keying.
The clinic ran on disconnected tools: a booking platform and an electronic medical record that did not communicate, with an offshore administrator manually re-keying every patient booking between systems each day. Statutory approval tracking was managed by hand across spreadsheets and email. Patient identifiers were being shared in plain email.
What we built
Three phases.
One clinical operating system.
Base & Architecture
Mapped the patient journey end to end, catalogued every system (booking, EMR, dispensary), and designed the integration architecture.
Build
Delivered in modular sprints so approvals stayed fast. Bookings sync automatically from scheduling into the medical record, removing the daily manual re-keying entirely. Patient registration and triage run automatically against clinical rules. Statutory approval tracking runs inside the system with full visibility. Dispensary data flows securely between systems on schedule. Patient identifiers that were previously shared in plain email now sit inside an access-controlled platform.
Run
The platform is built to integrate with the wider Chemist Warehouse group infrastructure as it scales, supported by an ongoing retainer.
Outcomes
What changed for the clinic.
- 1Daily manual re-keying between booking and EMR eliminated.
- 2Statutory approval tracking moved from spreadsheets into a single auditable system.
- 3Patient identifiers removed from plain email and into an access-controlled platform.
- 4Modular sprint delivery kept approvals fast with no formal business case bottleneck.
This is what an AI operating system looks like in practice: the data moves itself, the team stops re-keying, and compliance is a feature, not a spreadsheet.
